Rostering Students with Smart Futures
Option 1: Registration of instructors (and students)
by Clever.com or ClassLink.com
The best
scenario is to have all rostering handled through an automated nightly process
through the Clever or ClassLink systems.
Prior to implementing SmartFutures.org, it is worth it to have your IT
team talk to Smart Future’s team to see if automated rostering through these
systems is possible. If so, it gives
schools automated set up of all users and classes and keeps everything updated
as the year rolls on. It also gives students
and instructors a single sign-on solution for all the applications you use.
Option 2: CSV File upload
Districts
may choose to register students by creating a CSV file to Smart Futures for a
one-time mass import. You should submit separate files for separate
buildings.
The
following are the fields to include in your file:
- Building_NCES_ID
- FirstName
- LastName
- Date
of Birth (mm/dd/yyyy)
- UserName_email
(if user is using an email as an ID)
- Username_nonemail
(if user is not using an email as ID)
- Initial_Password
(student can change later)
- Graduation_Year
(four digit)
- ZipCode
(for student or school, 5 digit)
- Has
IEP? (N or Y) -- Note: students with IEPs will get credit for
activates done at any grade level
- Class
(optional and Teacher_Email required if used, if given will create the class
and associate students with it)
- Teacher_Email
(optional and Class required if used, if given will associate the student with
the teacher)
- PA_Secure_ID
(required for all school districts and charter schools)

Each school building should be sent in a separate file. Name your files using this convention: _mmddyyyy.csv.
Send your file(s) to support@smartfutures.org when they
are ready.
Once
imported, students will login at SmartFutures.org with their ID and Password
that were included in the file.

Login to your
instructor account at SmartFutures.org

Choose or Create a class that will contain the
students you are about to add
a.
Click on the Registrations and Licenses tab

Choose a Class or Create New Class
c.
For new classes
fill out the form to create a new class

3.
Choose Option 2
to create student codes via form
a.
Fill out the
form completely making sure to provide all required data
b.
Click “ADD”
then OK.
c.
The student
will appear in the class you selected
