V2: Rostering Students with Smart Futures
There are three ways to roster your students with Smart Futures.
- Rostering via Clever or Classlink
- Rostering students by CSV File
- Rostering students manually
Option 1: Rostering by Clever or ClassLink
We heavily encourage our customers to use automated rostering via Clever or Classlink because it allows for students to be added within about 24 hours of them being added to your SIS, and it sets up the classes automatically for the Instructors in Smart Futures.
Additionally, it can be used for a single-sign on solution for your Instructors and Students, so they have one "dashboard" to log in to different apps and sites you use, so if you do get set up with Clever, it could possibly be used with other apps/sites as well.
If a school/district is rostering via Clever/Classlink, we expect that their students and Instructors/Faculty would be logging in through Clever as well, and we do not assign a specific username and password for them to be able to log in without going through Clever/Classlink.
If you are considering using Smart Futures, it might be a good idea to set up a meeting with our customer support and your IT team to discuss if automated rostering through these systems is possible. You can
submit a support ticket to request a meeting for that discussion.
Option 2: Rostering Students by CSV file
If rostering via Clever or Classlink is not an option, customers may choose to register students by creating a CSV file to Smart Futures. All students in all buildings should be included in one file.
The following are the fields to include in your file:
- Building_NCES_ID (NCES IDs can be found here - https://nces.ed.gov/ccd/schoolsearch/)
- FirstName
- LastName
- Date of Birth (mm/dd/yyyy)
- UserName_email (if user is using an email as an ID)
- Username_nonemail (if user is not using an email as ID)
- Initial_Password (student can change later)
- Graduation_Year (four digit)
- ZipCode (for student or school, 5 digit)
- Has IEP? (N or Y) -- Note: students with IEPs will get credit for activates done at any grade level
- Class (optional and Teacher_Email required if used, if given will create the class and associate students with it)
- Teacher_Email (optional and Class required if used, if given will associate the student with the teacher)
- PA_Secure_ID (required for all school districts and charter schools)

Name your files using this convention: District Name_mmddyyyy.csv.
Send your file(s) to support@smartfutures.org when they are ready.
If you elect to roster students by CSV file, you will need to send all active students in one file, and the file should be updated and resubmitted when students need to be added/removed.
